This Project Work Policy explains our custom project model, milestone-based payment schedules, RaaS outcome billing, scope limits, and what clients can expect when engaging with us for fixed-fee project work.
1. Overview of Project Work
Elevare offers custom, fixed-fee projects for founders, startups, and business teams who need hands-on execution, delivery, or implementation outside of advisory retainers.
Projects may include:
Website or platform builds
Workflow/process automation
Department overhauls (e.g., HR, Sales, Ops)
Brand identity, marketing automation, or tech stack deployment
Any high-impact, milestone-driven transformation
Each project is custom-scoped after a Discovery or Clarity Scan session, with a clear SOW, pricing, milestones, and deliverables.
2. What’s Included: Deliverables & Scope
All Projects Include:
Dedicated Project Team: MBA-level consultants and specialists assigned to your project
Custom SOW & Timeline: Scope of work, milestones, and delivery dates defined up front
Milestone-Based Delivery: Assets, systems, or deliverables provided in agreed-upon phases
RaaS “Last Mile” Guarantee: Final payment tied to a business outcome, KPI, or go-live trigger
Handover & Documentation: Playbooks, SOPs, or user guides as needed
Support Window: Limited post-delivery support for launch, adoption, or minor adjustments
Payment Schedules by Project Size:
Projects up to $5,000: 60% upfront, 20% on asset delivery, 20% on RaaS/outcome
$5k–$10k projects: 50% upfront, 30% on milestone, 20% on outcome
$10k–$30k projects: 50% upfront, 30% on milestone, 20% on outcome
$30k+ projects: 40% upfront, 40% on major milestone, 20% on outcome
Note: The “last mile” (20%) is only invoiced when the agreed KPI, go-live, or value metric is met, as defined in your contract.
Sample Project Scopes:
Custom web/app builds, process mapping & automation, full department systemization, high-impact campaigns, or multi-phase transformation projects.
3. What’s NOT Included
Out-of-Scope Requests: Any deliverables, features, or integrations not specified in the signed SOW
Ongoing Advisory: Advisory, coaching, or “hours on call” are not included—consider a retainer for ongoing support
Unlimited Revisions: Revisions are limited as defined in the SOW (typically 2–3 rounds per milestone)
Post-Launch Maintenance: Ongoing support or tech upkeep is available as a separate retainer
4. Communication & Scheduling
Project Kickoff: Detailed onboarding, timeline, and team introduction
Check-ins: Scheduled milestone calls and written updates at each phase
Feedback & Approvals: Client feedback required within agreed review windows to stay on schedule
Escalation: Any new work or major scope changes will be quoted separately via Change Order
5. Payment Terms & Milestone Invoicing
Milestone Payments: Invoiced per the agreed schedule (e.g., 60/20/20, 50/30/20, 40/40/20), with the final “last mile” payment tied to an outcome or KPI
Last Mile (RaaS) Guarantee: The final 20% is only due when the stated result (go-live, KPI, system adoption, launch metric) is achieved
Change Orders: Major requests outside scope are quoted/invoiced separately
Refunds: Non-refundable once each phase is completed and approved
6. Confidentiality & Professional Conduct
All engagements are confidential; project IP, data, and materials are protected
Professional standards apply; Elevare will not subcontract or outsource work without client approval
7. Scope Expansion & Upgrade Path
Scope Creep: Any work beyond original SOW will be documented, quoted, and approved in advance
Upgrade: Clients may upgrade to a retainer for advisory or ongoing optimization, or request new projects as needed
8. Termination & Limitation
Either party may terminate the project with written notice, subject to completion and payment of all milestones delivered to date
Repeated delays, lack of feedback, or breach of contract may result in suspension or termination
